Critical path

HMLR SAR (due 28 Oct) → copies or refusal → OC2 only for what is refused (approval) → Form 1C analysis → ICR complaint (13 Nov) → End Stage Report → G0.

Changes since 18 Oct

  • T14 “order OC2 now” replaced: SAR route first; OC2 only for what HMLR refuses (CH-012, CH-013).
  • T10: ATISN 27589 answered 19 Oct (refused, s.14(2)); 26-0010 answered 19 Oct (not held).
  • Outbound emails now sent by the send flywheel under Sion’s authority (CH-014).

Planning assumptions

  • HMLR still holds WA240304 item 11 and supplies an official copy [PENDING: EV-0063].
  • The 1905 conveyance is on the WA231076 file as a document referred to [PENDING: EV-0013].
  • Standing of the client (executor) is established: TBC — Sion to confirm (WP-28).
  • Sion makes every external request; Tab contacts nobody and orders nothing.

Execution baseline and recovery priorities — 19 October 2026

Baseline reconciliation: HubSpot contains 305 tasks: 201 NOT_STARTED, 48 WAITING, 21 IN_PROGRESS and 35 COMPLETED. There are 111 open tasks flagged overdue; 72 open tasks have priority NONE. The separate past-date property is not interchangeable with the overdue property. Do not count completed or merely acknowledged work as a recovered artifact.

PriorityTrigger / workRequired control
P0 — same dayEvidence may be destroyed, sold, overwritten or become unavailable; a statutory or limitation deadline is at risk.Capture source and provenance immediately; preserve the original; calculate the clock from a documented trigger; set owner and next action; escalate any tolerance breach the same day.
P1 — deadline trackLlandough CC meeting 22 Oct; Cadw ATISN 27589 due 26 Oct; HMLR SAR due 28 Oct; conditional ICO decision 29 Oct; HMLR-copy exception trigger 6 Nov; SWP FOI 1264/26 and MOD target 9 Nov; ICR target 13 Nov, window control 18 Nov.Keep separate case tickets and tasks; verify current status and send/receipt evidence before advancing a stage. Do not infer that a draft was sent.
P2 — evidence completionOpen records requests, archive leads, title-chain items and photographic/artifact recovery. One task per next action, linked to the authoritative case ticket, work-package and project. Acceptance requires the artifact or a properly scoped, recorded search outcome.
HOLD — no outbound action22 draft-mirror tasks explicitly marked DON’T SEND; 10 quarantined on 19 Oct, 12 still to triage.Preserve the full draft and Gmail identifiers; keep the hold state until each recipient, factual/legal accuracy, necessity and authorisation is reviewed. No bulk sending.

Association and priority correction

There are 70 ticket records in open stages and 27 directly associated tasks. Reconcile these links against the programme hierarchy before treating the dashboard as complete. Company duplicates are eight duplicate-domain pairs; 172 of 180 contact records have no value in the textual company field, which must be checked against actual associations rather than treated as proof of a broken link. No merge or deletion is authorised by this audit.

Repeatable cycle

On each inbound item or scheduled run: preserve → catalogue → update case ticket → associate task to WP/project → calculate deadline → set priority/owner/next action → verify acceptance → record lesson and next review. Use a stable source reference/message ID and, where available, file hash to avoid repeat work. A new event reopens the loop. An automation or agent must record that the cycle ran; never imply background monitoring without a run record.
